If you want to link one or several trips to a work order via the central interface, you can do it in different ways, which we go through in this article.
Who can link trips?
To be able to link trips to workorders, you need to either be a driver with a GPS from Fleet linked to you, or be logged in as an administrator. As a driver, you can only link your own trips, while as an administrator you can link your employees’ trips.

Different ways to link trips
You can link trips in the following ways:
Via the menu at the top of the webpage – you can choose the workorder to link to by either searching for work orders or selecting from open workorders. This option makes it easier if you want to link trips to multiple workorders using different selections.
Directly inside a workorder – you link trips to the workorder you already have open. This option is convenient if you want to link a trip to a workorder that you are actively working on.
The interface looks similar regardless of which method you choose.
Link via the menu
Click on the menu option Workorders in the left-hand menu.
Click on “…” in the top right corner and select Connect trips. Depending on your permissions, it will either say Connect trips (Driver) or Connect trips (Admin).
You can access the menu regardless of which view you are in under Workorders, for example Weekly view, Plan view, or Search work orders.
Link directly inside a work order
Open a workorder.
Click on the Driversjournal Fleet tab.
Select Connect trips. Depending on your permissions, it will either say Connect trips (Driver) or Connect trips (Admin).
⚠️ If you are not linked as a driver but still choose “Connect trips (Driver)”, you will receive a warning.
Select dates and units
If you're a driver
You’ll see a simplified view:
Select a date.
Click “Fetch trips” to load your GPS trips.
If you're an administrator
You’ll get a more advanced view where you can:
Choose a date.
Switch between Driver and Machine view if your Fleet units are connected to machines.
Check the boxes next to the units you want to fetch trips for.
Click “Fetch trips”.
Your selection is saved automatically for the next time you open the view.
Link trips to a work order
Linking from inside a work order
Select the trips you want to link by checking the boxes.
Click “Link trips”.
You can only link trips that aren’t already connected.
Need to remove a link?
Click “…” on the trip row and select “Remove link”.
Then, you can select the trip again.
✅ Don’t forget to click “Link trips” before switching days or closing the window!
Linking to any work order
To link trips freely:
Click “…” on a trip to see your options:
Connect with the order number - when you already know the order number
Search work order – search and select any work order.
Select from open work orders – choose from work orders you already have open in tabs.
Recently searched work orders – reuse a previously searched work order for faster linking.
🧹 Recently searched work orders are cleared once you close the interface.
What if a trip is already linked to billing?
Trips linked to billing are marked with a link icon:
These trips cannot be unlinked from the work order.
