Preliminary planning

Learn how to create a preliminary plan for work.

Updated this week

With preliminary planning, you can plan resources centrally – without the work being visible in the app right away. This means you can prepare upcoming jobs but wait to make them available to field staff until the time is right.

This feature needs to be activated by Infobric Workorder. If you do not have access to the feature, contact us via chat or email us at [email protected].

How it works

With preliminary planning, you can choose how new planning entries should be created – as a preliminary planning entry or as a confirmed planning entry. Confirmed planning entries are the ones visible to app users.

How to tell the difference

When a planning entry is preliminary:

  • It has a striped background in the planning view.

  • You can see in the list of planning entries on the work order which type it is.

  • It is not visible in the app.

  • It cannot be retrieved via “Fetch order”.

This allows you to plan in peace – without the risk of the job starting too early.

Change from preliminary to confirmed

You can confirm a preliminary planning entry in three ways:

Right-click in the planning view

  1. Right-click on the planning entry.

  2. Select Preliminary or Confirmed.

  3. Click Save.

NOTE! Don’t forget to save – otherwise the change will not take effect. You can change the type of more than one planning entry before choosing to save.

Edit inside the work order

  1. Open the work order.

  2. Go to the list of planning entries.

  3. Select which planning entries should be Confirmed.

This works well when you are already working in the work order and want to manage multiple planning entries at the same time.

Use “Confirm planning”

This is the fastest way when you want to confirm many planning entries at once.

  1. Set the planning view to the interval you want to display.

  2. Click "…" in the top menu.

  3. Select Confirm planning.

You will then see all planning entries within the selected interval and can:

  • Tick which planning entries should become Confirmed

  • Select all planning entries

  • Select all planning entries on a specific work order

  • Select all planning entries for a specific customer

  • Select all planning entries for a specific resource

  • Change the status of the planning entries at the same time

This allows you to quickly release a full day’s or week’s planning to the field.

💡 Tip

You can customize the list to make selection easier.

  1. Click "…" in the list.

  2. Select Manage columns.

  3. Add the columns you want to see.

When you display more columns, it becomes easier to filter and select the right planning entries – especially when working with many entries at the same time.
