If you work with service agreements, you can easily get an overview of all service agreements in the system. For example, you can see the date of the most recently completed service visit, the next planned service visit, or whether a service agreement contains an error that needs to be reviewed.
Service Agreement Overview
Go to Registers → Service agreement and click Service agreement overview.
Here you will see a list of all service agreements registered in the system. The list is grouped by:
Active and inactive service agreements
Service agreements connected to sites
Service agreements connected to devices
Information in the list
The list shows information such as:
Which customer and site the agreement is connected to
Which service agreement is used
Which unit the agreement applies to
When the service agreement ends
The number of completed visits
Whether there are planned visits
Latest completed visit
Next planned visit
Next order number
If there are any issues with the agreement
Open service agreement details
Right-click a row to open more options.
For example, you can:
Open the site connected to the agreement and view the detailed configuration of the service agreement
Open the unit connected to the agreement and view the detailed configuration of the service agreement
Open the next work order if a planned order exists and no errors have been detected
Filter and customize the list
You can filter the list by typing in the filter row at the top.
If you want to show more or fewer columns, click the "…" button on the top row, far right and select Manage columns.
Identify issues in Service Agreements
The last columns in the overview help you identify errors and other issues in your service agreements. You can filter the columns using the filter row.
How to interpret the error columns
Issue – The service agreement contains one or more issues that need to be reviewed.
Next order deleted – A planned work order in the service agreement has been deleted.
Error descriptions
The sections below explain what the different error descriptions mean.
Unit location differs from the Service Agreement
The unit has been moved to a different site, while the service agreement is still linked to the previous combination of unit and site.
This can cause problems when new work orders are created.
Multiple planned work orders
There are multiple planned work orders linked to the same service agreement.
This can happen if:
Statuses are configured incorrectly
A work order has been completed and created a new work order
The status was later changed back on the original work order, causing it to still be treated as open
Planned work order deleted
The next work order in the chain has been deleted. As a result, the system cannot continue creating new work orders for the service agreement. The system creates new work orders based on previous work orders in the chain. If the next work order is deleted, the system cannot automatically create new work orders.
If a planned work order has been deleted by mistake, you can right-click the row and select Create Work Order.
This feature needs to be activated by Infobric Workorder. If you do not have access to the feature, contact us via chat or email us at [email protected].
No planned work order
An error occurred when the system attempted to create a new work order.
An underlying issue prevented the work order from being created. Contact us via chat or email us at [email protected] for troubleshooting and assistance.
There are duplicates of service agreements
The same service agreement is linked to the same facility or unit more than once.
