News in Workorder

This update includes several improvements that make everyday work easier, whether you use the app or the web interface.

Service agreements can now follow a fixed schedule, so service visits stay on their dates even if a job is delayed. In the app, it is easier to find what you need thanks to new search options for workplaces, units and Hyrma items. In addition, pay types now have their own view in system administration.

The update will be released on Wednesday 28 October at 3:00 PM.

Service agreements can follow a fixed schedule

Until now, the next service in a service agreement has been calculated from the day the previous service was completed. If a service was delayed, all upcoming visits were therefore moved as well.

You can now let the service agreement follow a fixed schedule instead. The next service is then calculated from the date the previous service was planned for, not from when it was completed. Service visits stay on their dates even if a job is delayed.

This feature needs to be activated by Workorder. If you don't have the feature, contact us via chat or email us at [email protected].

New view for pay types

Do you need to deactivate a pay type or change which articles belong to it? As a system administrator, you can now do this yourself, directly in Workorder. Under system administration, there is a new view with all pay types. There you can see the pay type number, name and whether the pay type is active, among other things.

In the view, you can:

  • activate and deactivate pay types

  • choose which articles can be selected for a pay type when reporting time

Keep in mind that you cannot report time on a pay type that is deactivated.

If you want to change anything else, such as the name or number of a pay type, contact us as before.

You'll find the view under the gear icon → System administration → Pay types. It is intended for system administrators, and we enable it on request. Contact us if you want to start using it.

Workplaces in the app: search by customer and view contacts

With Search workplace in the app, you can find a location, such as an address or a facility. The feature now has two improvements.

Search by customer name

You can now also search by the name of the customer the location belongs to. This is useful when several customers have locations with the same name. The customer number and customer name are also shown in the search results and when you open a location.

View contacts

When you open a location, there is now a Show contacts button. There you can see the contacts for the location and for the customer it belongs to. Tap a person to see their contact details. This lets you quickly get in touch with the customer, for example before you create a work order.

Create a new unit directly in the app

Are you visiting a customer to service a unit that isn't registered? You can now create the unit directly in the app, at the location where you are.

Open the location via Search workplace and select Show units. There you will first see which units already exist, so you don't accidentally create a duplicate. The new unit is automatically placed at the location and appears in the list as soon as you have saved it.

A new unit must have a serial number and a unit name. If something is missing, the app suggests a value, for example the unit number as the serial number or the model name as the unit name. If you use a number series for units, the new unit gets its unit number automatically.

This feature needs to be activated by Workorder. If you don't have the feature, contact us via chat or email us at [email protected].

Forms in the app

If you fill in forms in the app, there are three improvements.

Search among units when filling in a form

In April, we introduced the option to fill in forms per installed unit on the same work order. When the feature is activated and the work order does not apply to a specific unit, you first select which of the units at the location you are filling in the form for.

You can now search in that list. This helps you quickly find the right unit, even when there are many units at the location.

Clearer which forms have been filled in

The app now shows more clearly which forms have already been filled in. This makes it easy to see which ones remain, even when you are working with many forms.

Only the person who created a form can edit it

You can now lock forms in the app so that only the person who created a form can edit it. Other users can open the form but not edit it. This means no one can accidentally change an inspection or a report that a colleague has already filled in.

The lock only applies in the app. In the web interface, forms work as before.

This feature needs to be activated by Workorder. If you don't have the feature, contact us via chat or email us at [email protected].

More control when copying an order

When you copy a work order, in the web interface or in the app, you choose what should be carried over to the new order. There are now two new options:

  • Change status to. Previously, the copy got the same status as the original order. You can now choose which status the copy should get. The status for new work orders is preselected, but if you want to change it, you can choose from the system's other statuses. This is useful when you copy an order that has already been closed.

  • Set me as our reference. You, the person copying the order, become Our reference on the new order.

Hyrma-Workorder

For customers who use our integration with Hyrma, there are two new features.

Rental block can be preselected

You can now have the rental block checked by default when you create a service or repair case. This reduces the risk of a machine being rented out while it is waiting for service or repair. You can still change the setting in each case.

Search for an item by product name

You can now search for an item by product name, not just by serial number/manufacturing number. It is enough to type part of the name. This is useful when you don't have the serial number at hand.

Minor improvements and changes

Order type as a column in Employee time report

In Employee time report, you can now show order type as a separate column in the Weekly list, Monthly list and Custom date range views. Select the column in the column settings, where it appears after Our reference. This lets you see directly what type of work the time relates to. The order type is also included when you export the list to Excel, so you can follow up time per type of work.

Only valid projects in the time report

When you report time, only valid projects are now shown. This means you can't accidentally report time on a closed project.

Show order type on the invoice basis

When you print an invoice basis, you can now include the order type on the printout. In the print preview, there is a new option under Header, where you select whether the order type should be shown.

New filter in the Work order widget

Until now, in the Work order widget, you could only select orders based on who is responsible. There is now also the advanced condition Responsible/Co-reporter. This shows orders where the selected person is either responsible or a co-reporter.

Default material lines in the app too

Until now, default material lines were only added automatically when the work order was created in the web interface. It now works the same way when you create the order in the app, so the order gets the right standard materials from the start, no matter where it is created.

The import template for new users is now available in English

When you add new users, you can import them from an Excel file. You download the template under System administration → Users - licences → Add users → Import from Excel file → Download template.

Previously, the column headings in the template were always in Swedish. If you use Workorder in a language other than Swedish, you now get a template with English column headings. The import works with both Swedish and English column headings.

Fix for charging under Costs

Under Costs on the work order, you can create charge lines in two ways: one line per cost line or one line for the entire cost. Previously, both methods could be used for the same cost, which could result in incorrect charging. The system now checks whether the cost is already linked to a charge line, and if so, you get a message instead.
